WaitWell Rates Itself 9.4/10 in 10-Platform Practice Software Ranking

Canada – October 27, 2026 -- WaitWell scored 9.4 out of 10 in its own evaluation of 10 medical practice management platforms, ahead of athenaOne (8.2), Tebra (7.8), SimplePractice (7.6) and RXNT (7.4). WaitWell publishes the guide and discloses a commercial interest in its conclusions.

Seven weighted criteria favor platforms that handle walk-ins and bookings

The evaluation covered scheduling and self-booking, check-in and queue capability, EHR and billing integration, compliance posture (HIPAA, SOC 2), analytics quality, billing depth and pricing transparency. The team tested tools directly where possible, analyzed reviews from G2, Capterra and Software Advice, and reviewed published pricing.

Platforms that manage both scheduled appointments and walk-in flow scored higher than billing-only suites. The guide's rationale is that more practices need a modern scheduling and check-in layer than another billing migration.

WaitWell covers 1,700+ locations but does no billing, claims or charting

WaitWell serves more than 1,700 locations across healthcare, government, higher education and retail in the US and Canada. Named customers include Michael Garron Hospital, Avantia Medical Imaging and the Nevada DMV statewide.

Patients check in by QR code, web link, SMS or a kiosk on a standard tablet, and complete intake forms and document uploads before arrival. Two-stage waiting lets a practice cap lobby capacity and call patients in as space opens. Bookings and walk-ins run through a single queue with fair sequencing.

Appointments and payments are included on every plan, and WaitWell does not charge per provider or per staff member. Waillo AI and staff scheduling require Enterprise plans, so Starter and Basic customers get only the queue and scheduling core.

The guide states that WaitWell handles no claims, e-prescribing or charting. Practices with billing-centered problems are pointed to athenaOne, Tebra or PracticeSuite, with WaitWell layered on top.

athenaOne leads on revenue cycle depth but trails on front-desk flow

athenaOne combines practice management, EHR and revenue cycle management in one cloud suite, with claims scrubbing, denial management and payer rules updated across athenahealth's national provider network. The guide says its walk-in queuing, lobby visibility and capacity-managed waiting lag its billing depth. It names athenaOne practices as a common pairing for a patient-flow layer.

Tebra, SimplePractice and RXNT target narrower segments

Tebra, formed from the merger of Kareo and PatientPop, targets independent practices with scheduling, charting, e-prescribing, billing, telehealth and review management. The guide notes that practices generally adopt it wholesale, and that its third-party integration breadth is narrower than open-API platforms.

SimplePractice is rated the top pick for solo and small behavioral health practices. The guide says its therapy-style design, one clinician and one client in one room, creates friction for practices with waiting rooms, walk-ins and multi-step visits.

RXNT offers practice management, EHR, EPCS-certified e-prescribing and billing as a-la-carte modules or a full suite. It publishes its prices, and setup, training and support carry no additional cost.

Avantia Medical Imaging reports patients arriving within minutes of appointments

Avantia Medical Imaging replaced phone-heavy scheduling and lobby congestion with WaitWell's patient queue. Its administrative staff now spend less time managing patients by phone and in person, according to the guide. Its medical director says patients arrive within minutes of their appointment and move straight through to imaging.
