PROVIDENCE – October 28, 2026 -- Wealthbox launched Wealthbox Vault, an add-on that gives advisory firms unlimited file storage, full-content search, retained file versions and a Compliance Monitor role with a complete audit log of file activity. Separately, Wealthbox AI can now read documents stored in the CRM on every Wealthbox plan.
Vault blocks file deletion, including by firm administrators
Files stored in Vault cannot be deleted by any user. Archiving removes a file from active view but preserves the record. When a new version is uploaded, every previous version is retained.
Firms can export all Vault files, or a filtered set, at any time as a .zip that preserves folder structure and includes a CSV manifest.
Compliance Monitor role grants read access to all files in assigned workspaces
Designated users can read every file and folder in their assigned workspaces regardless of individual file permissions. They can also view and export the complete audit log of Vault activity. Wealthbox says the controls are meant to support firms' own compliance requirements.
Full-content search indexes text inside scans and images
Vault indexes text inside PDFs, Word documents, spreadsheets, presentations, scans and images. A search for a word or phrase surfaces every matching file in Wealthbox, including scanned forms and photos of business cards.
Files tied to each household member roll up automatically to the household record. Custom fields, filtering and in-app previews for PDFs, documents, spreadsheets and images are also included.
Wealthbox AI now reads client documents on every plan
Wealthbox AI reads PDFs, Word, Excel and PowerPoint files, text files, scans and images. An advisor can upload a client's trust agreement and ask who the contingent beneficiaries are. An advisor can also upload a signed form and have the AI propose updates to client fields for review.
AI Agents can compare document contents against client records, flag discrepancies and take follow-up actions in Wealthbox. Both Wealthbox AI and AI Agents follow existing permissions, so they only use files a user is already allowed to see.
CEO John Rourke said most firms keep the client record and client file in separate systems, so their AI sees only half the picture. He described Vault as built for firms that want "every file, and every version of it" alongside the client record.
Folders and zip import come with all plans
Every Wealthbox user can store files alongside client records, tasks and workflows, and can now organize them in folders. Firms migrating from another storage provider can upload a .zip of client folders and map each folder to a Wealthbox contact through self-service import.
Wealthbox Vault is available now as an add-on for Wealthbox users.
