Vantaca: Community Assessments Up 50.5% as AI Lifts Staff Capacity

Wilmington, N.C. – November 03, 2026 -- Association assessments in professionally managed U.S. communities rose 50.5% between 2021 and 2025, driven by higher insurance, utility and other operating costs, according to a new report from Vantaca. AI-enabled management operations now handle 669 doors per staff member, versus 436 at traditional operations.

Vantaca released The State of the Industry: Managed Community Living in America at its Vantaca Vision 2026 event. The report draws on anonymized operational data from its platform, covering more than 500 management companies, 52,000+ associations and about 6.5 million homes. It also includes three third-party-administered surveys fielded in June 2026, with 654 combined respondents across homeowners, management company executives and service providers.

Homeowners accept higher dues when costs are explained

Nearly four in ten surveyed homeowners say their dues are too high. However, 73% would accept an increase if given a clear explanation. Vantaca frames communicating value as becoming as important as delivering it.

Service providers report margin compression and slow approvals

Among service providers surveyed, 83% report margin compression and 75% cite slow approvals. They are seeking greater efficiency and predictability from management companies.

Vantaca expands HOAi Fleet with agents for invoicing, onboarding, compliance and budgets

At the event, Chief Product Officer Trisha Price and Chief Technology Officer Jeff Beard unveiled expanded capabilities. HOAi Fleet adds agents for invoicing, association onboarding, compliance and budgets inside existing workflows. The agents prepare work, and the management company's team reviews and approves what goes out. Teams can train Fleet on new skills, and a redesigned workspace shows what each agent is doing.

Vantaca previewed several upcoming features:

  • A Priority Action Queue that puts staff and agent tasks on one screen.
  • A community manager agent that helps prepare for board meetings.
  • Elections and voting for residents.
Vantaca Pay cuts settlement from four business days to one

Vantaca Pay shortens settlement from four business days to one and gives residents itemized receipts. Vantaca Vendor gives service providers streamlined onboarding, payment setup and a portal showing the status of work and payments.

On the resident side, HOAi Voice and the expanded Vantaca Home provide answers at any hour. Community Brief delivers a company-branded monthly report to board members showing what their management company delivered.

CEO Ben Currin said the research shows the industry has "an opportunity to scale what already works," with technology taking on routine work so management companies can focus on relationships and service.
